Job description
The Inventory Specialist will be based out of Beckley, WV and is responsible for the direct oversight and day-to-day inventory management for the dispensary. This Position ensures proper inventory levels are always maintained with full compliance. The Inventory Specialist position is responsible for the direct oversight and accurateness of all state-wide inventory cycle counting, verification of required documentation and product counts for products received and conducting daily audits of inventory, tracking, and distribution of product. Responsibilities also include ensuring accurate tracking of invoices, product master creation, menu support, inventory turns, product returns, waste, damages, and ensuring strict compliance with company policies and procedures.
Essential Duties and Responsibilities:
- Ensure all inventory is received and recorded.
- Recording daily deliveries, evaluating all product and analyzing all suppliers.
- Evaluate all current practices to ensure all deliveries, shipment and product levels are efficient and in compliance.
- Be able to analyze all products and supply levels to anticipate any potential issues and being able to remedy them.
- Ensure there are proper reports of all purchases and pricing by completing necessary audits as needed.
- Monitors and maintains current inventory levels; processes purchasing orders as required; track orders and paperwork.
- Works with Dispensary managers to record purchases, maintain databases, perform physical counts of inventory, and reconcile actual stock count to computer-generated reports.
- Ensure day-to-day operations run smooth throughout the dispensary.
- Ensure all inventory operations are in compliance at all times.
- Maintain education and knowledge of all state and local cannabis laws and regulations.
- Inform team of all new products.
- Complete and analyze non-cannabis inventories.
- Approve and adjust inventory settings as needed.
- Manage and update product masters for POS software
- Ensure all inventory is properly catalogued.
- Establishes and maintains working relationships with all vendors and suppliers.
- Ensure all technology platforms, such as METRC, POS, and menus are constantly updated the with the most accurate product descriptions, prices, promotions, and inventory amounts.
- Ensuring new products are ready for sale within the established timeframes for each product.
- Document and address any and all discrepancies.
- Keep all departments abreast of any inventory concerns and ensure you are being proactive.
- Be instrumental in creating inventory SOP’s to ensure best practices are being followed.
- Receives, unpacks and label products; re-stocks items as necessary; labels shelves.
- Processes invoices for payment.
- Processes and documents return as required following established procedures.
- Performs miscellaneous job-related duties as assigned
- Manage all menus for the assigned location
- Ensure product and product images are loaded and accurate between the menus and the POS system (online platforms and in-store platforms) dependent on inventory stock.
- Work seamlessly with the marketing and sales teams
- Update online platforms to help promote product sales.
- Follow established policies for sales and customer service to ensure customer satisfaction.
- Maintain in-depth knowledge of every product and strain in the store.
- Help customers make the right choices by knowing how different methods of cannabis consumption affect our patients differently and suggesting dosage starting points and upward titration for inexperienced patients.
- Correct cash handling and discount application
- Verification of proper paperwork, documentation and ID for patients
- Accurate use and maintenance of the Point Of Sale (POS) system; Accurate and timely data entry of patient profiles in both the POS system and the state's electronic verification system
- Maintenance of hard copy files (when required)
- Assistance in verifying order deliveries for accuracy
- Security measures and safety compliance
- Maintenance of an organized and clean store
- Management of visitor log
- Maintenance of open communication with the management team and other coworkers
- Reporting of employee issues or patient situations
- Provide any necessary support to the management team to ensure retail store operations run smoothly, properly and in compliance with the applicable rules and regulations, including: daily activities, maintenance, and patient information for any reported issues and/or complaints.
- Performs all other duties as assigned.
Requirements
Relevant Knowledge, Skills, and Abilities:
- Knowledge of supplies, equipment, and/or services ordering and inventory control.
- At least 3-5 years of inventory management experience in a high-volume environment.
- Working knowledge of industry best practices.
- Ability to reconcile stock counts to report data.
- Database and time management skills.
- Ability to analyze and solve problems or research inventory losses
- Ability to prepare routine administrative paperwork.
- Ability to receive, stock, and/or deliver goods.
- Clerical, word processing, and/or office skills
- Basic knowledge of MS Office
- Trustworthy, Punctual with great written and verbal skills.
- A high level of internal and external customer service.
- Ability to manage high-stress situations and to be flexible and adaptable when a situation requires it.
- Understanding of applicable federal, state and local laws and regulations as they pertain to the industry, personnel law, safety regulations, local municipal codes and organizational rules, regulations, directives and standard operating procedures
- Must be 21 years of age or older
- Ability to pass a background check
Physical Requirements:
- Standing and moving for 2-3 hours at a time
- Long periods of prolonged sitting and standing
- Long periods of prolonged use of office equipment including computers and phones
- Requires normal range of hearing and manual dexterity sufficient to operate a computer
- May require lifting up to 25 pounds occasionally
Work Environment:
- Similar to a busy manufacturing facility or warehouse
- Constant interaction with internal and external stakeholders
