Job description
This position will support our Pennsylvania Operations. The candidate will perform a wide range of administrative and office support activities for these departments to facilitate efficient operations. The ideal candidate must be detail-oriented, a critical thinker and possess the ability to work in a fast-paced, collaborative environment. The candidate must have strong interpersonal skills, be self-motivated and have the ability to prioritize multiple tasks.
Duties and Responsibilities:
- Provide general administrative support to include but not limited to mailing, scanning and copying documents as well as open, sort and distribute incoming mail, packages and deliveries, maintain office supply inventory and assist with office equipment needs.
- Schedule domestic travel arrangements to include airline, hotel and rental car bookings.
- Coordinate and schedule internal & external meetings and conference calls.
- Prepare correspondence, meeting agendas and presentations as directed.
- Retrieve and maintain documents from the electronic filing system.
- Draft and issue emails to teams and departments on behalf of same.
- Assist in organizing and coordinating localized company events.
- Respond to and resolve administrative inquiries and questions.
- Prepare and submit expense reports as directed.
- Assist in obtaining quotes for purchasing new equipment and/or programs.
- Coordinate tracking of orders, as well as delivery details.
- Find ways to improve inter-departmental processes.
- Develop strong relationships with internal and external contacts of the organization.
- Be a point of contact for a range of staff.
- Prioritize conflicting needs and manage frequent interruptions while maintaining proficiency and accuracy.
- Serve as a trusted team partner with demonstrated ability to maintain confidentiality and discretion in daily work.
- Represent the organization with a positive, can-do attitude.
- Handle ad hoc projects while prioritizing conflicting needs and managing constant interruptions.
- Ensure priorities are managed and short- & long-term requests are thoroughly completed.
- Perform all other duties as assigned.
Minimum Qualifications and Requirements:
- Three to five years of relevant administrative or related experience
- Experience supporting multiple departments
- Excellent verbal and written communication skills
- Ability to maintain strict confidentiality at all times
- Proficient in Microsoft Office Suite, Google Suite, Concur Travel/Expense Software
- Excellent organization skills, high attention to detail
- Ability to work independently and in a team setting
- Must be 21 years of age or older
- Ability to pass a Federal and Pennsylvania State Background Check
- Must have received or be willing to receive the COVID-19 vaccination by date of hire. Proof of vaccination required.
