Job description
Position Overview
We are looking for a reliable, team-oriented, and experienced Administrative Assistant with excellent communication skills and an upbeat attitude. Candidates should be able to assist the administrative team and all visitors to the company by handling office tasks, providing polite and professional assistance via phone and e-mail, and generally being a helpful and positive presence in the workplace.
To be successful as an Administrative Assistant, candidates should be proven professionals with a positive demeanor and attitude. The right candidate can maintain composure and confidentiality in a demanding, evolving workplace. The Administrative Assistant must uphold and practice good values, but also have highly refined time-management, coordination, planning, problem-solving, analysis, and organizational skills to ensure that the office runs smoothly. Lastly, we are looking for someone who can quickly adapt and prioritize multiple tasks/projects simultaneously in order to produce results in an efficient and effective manner.
Responsibilities:
- Record keeping and filing of documents
- Data Entry for manufacturing and distribution operations
- Organize office supplies and all common areas of office and warehouse ensuring tidiness
- Support & organize in-house or off-site activities like parties, celebrations, and conferences
- Ensure clean, sanitary, and organized working environments throughout the entire office
- Travel back and forth to other facilities and offices
- Receive shipments and deliveries
- Receive, review, and record documents accurately, thoroughly, and efficiently
- Must maintain a 99%+ accuracy in the data entry process, classification, and valuation. Accuracy in this role is crucial for compliance
- Advise supervisor of any delays, problems, and/or question any irregularities discovered within assigned transactions
- Regular contact with other departments and staff, as well as vendors and customers
- Miscellaneous errands
Qualifications and Requirements:
- Microsoft Office/Excel/Outlook required
- Maintain a high level of confidentiality and discretion
- Strong attention to detail
- Basic math skills (addition, subtraction, multiplication)
- Capacity to work overtime and weekends when required
- Valid CA Driver’s License. No Exceptions
- Must successfully pass background check.
- Must be 21 years or older, as required by state law
- Must have own reliable car of your own. No carpooling, ride share, or drop offs to work.
Physical Requirements:
- Move, carry, and lift up to 30 pounds
- Regularly perform various repetitive motions such as carrying, grasping, lifting, walking, standing, bending/crouching, stooping, reaching and stretching
